Users, User groups and User rights

This article describes how to create new users and specify a user's rights in the interface. You can create an unlimited number of users no matter how many licenses you have enabaled on your account. The rights of a user can be set either at group or location level but also down to a specific area in a layout. Only users who are account administrators or have the right to manage users can create, change passwords or set permissions for users.

A user can never create other users with more or higher rights than they have by themselves!


Settings and features for users and user groups are found under user accounts in the menu. If you do not see this option, you do not have the right to manage users. Then contact your account administrator.

Create a user

  1. Click the "Add User" button to create a new user.user_e1.png
  2. Fill in the user information and set any time limit on the user account. A time limit may be useful for 3rd party users or for temporary users who will use the system. You can set a password directly for a new user or send a password link to a user under "New password." When sending a password link to a new the user the user also receives information about how to siging in. The user also needs to enter their user information after the first login. Click Save and Close to create the user. Click on the user name again to be able to set the user rights in more detail.



Create a user group

A user group is good to create if you have multiple users who will have the same rights. Instead of setting the rights of each user you add all users who shall have the same user rights to the user group.
  1. Click User Groups in the left-hand column and then click the "Add user group" button.user_e3.png

  2. Give the user group a name and a description. Click Save and close.
  3. Click the mini menu (...) placed to the right of the group name (in this example the group name is "Handle users") and click "Manage Group", to specify the rights for users added to the group. Limitations in the structure and layout

Click on a user and scroll down to access the locations, groups, and area restrictions.

In the example below Limitations in structure - Locations have been selected by one click. The location Office in Sweden has been selected as well as the layout "Infoskärm". The layout of the "Infoskärm" has a restriction for the user on the area selected. In the example below, the user will only be able to view and manage the area"1 Main" when logged into PLAYipp Manager. The same restrictions can be performed on groups.




A user can be restricted to only view and/or make changes in a layout, group, location or area. Below is a more detailed description of the four different limit options that can be selected.

Schedule: The ability to schedule between different layouts if more than one layout is linked to the current layout

Manage / Change: Right to add, delete and edit the playlist for the specific area.

View / View: Only see the content in a playlist.

Hidden: The group, location, or area is not shown to the user and is not a selectable option under Menu > Publish.



This section covers all of the functional and management options that can be applied to a user or a user group.




Manage users: The user can access the "User Accounts" section from the main menu. The user may create users and user groups as well as make changes to existing users. A user cannot set higher rights on a user than they themselves have.
Manage Structure: The user can access the "Structure" section from the main menu. The user can create places, groups and layouts.
Manage base content: The user can handle the base content for a layout.




Manage units: The user can accesses the Media Player section from the main menu, connect media players with different layouts and view status updates for media players.

Manage Heartbeat: The user can access the Heartbeat section from the main menu and can create media player monitoring lists.






Manage all QUICKnote templates: The user can access all QUICKnote templates as well as create new Quicknote templates for all locations and groups.

Manage all QUICKnote templates in the places and groups where the user has the right to change: The user accesses all QUICKnote templates that are linked to the places the user has access to. The user can also create and modify existing QUICKnote templates that the user has access to.

New blank QUICKnote in publish: The user can create a new blank template from within "Publish> + Add > Templates". The user can not save the template in the template archive if the user is not entitled to "Manage all QUICKnote templates" but the user can use the created template.

Use the color picker: The user can choose color on the template text in addition to the company colors.

Use all QUICKnote templates / Restrict usage to these templates: Restrict the user to only use selected templates.





Access to all folders: The user can access all folders created under the QUICKnote folder.

Restrict to the following folders: Restrict the user to only use selected folders.





Full rights (all that follows): The user gets all rights in the media library.

Create folders: The user can create folders in the media library.

Edit folders: The user may rename the folders in the media library.

Delete folders: The user may delete folders in the media library.

Create media objects: The user may upload media objects (images, videos, links, etc.) to the media library.

Approve Media Objects: This feature has expired and will disappear in 2018.

Edit media objects: The user can rename media objects.

Delete media objects: The user may remove media objects.



Access to all folders in the media library: The user can access all folders in the media library.

Limit media library to these folders and any subfolders: Restrict the user to only use or use/edit selected folders.





Unlimited max priority: The user can set the maximum priority on media objects.

Set max priority to: Restrict the user to only select priority up to a certain level for a media object.




Mobile View and the Mobile view App

All Mobile View features are collected under this section. Mobile View is an additional service and connects your company's mobiles to PLAYipp Manager.




Manage users: The user is allowed to handle the Mobile View recipients and Mobile View groups.

Manage Forms: The user can create and manage Mobile View forms.





Manage front in all Mobile View groups where user has right:

Unlimited max zone: The user may edit all zones in Front.

Set max zone to: User can edit up to selected zone in Front.



Input and Input-Widgets

All users who become an active input user for an input are allowed to use and update the information in that input. An input user is not allowed to change or delete an input. Input for Blog, Notices, and Target value all have the same type of settings and rights. The description below can be applied to all three.


Manage blogs: The user accesses the blog's settings and has the ability to invite or edit among active input users.

Use all blogs: The user may use and update the information in all created blogs in the account.

Limit usage to these blogs: The user is restricted to update only certain blogs in the account.

Administer Stopwatch: The user may administer all stopwatches.

Restrict usage to these stopwatches: The user may edit added stopwatches.
